Standard Operating Procedure (SOP)
A standard operating procedure (SOP) is a documented, step-by-step instruction for completing a recurring task the same way every time — so the work is done consistently by anyone, not just the person who happens to know it.
What it means
When a process lives only in someone’s head, the business is one departure away from losing it. An SOP turns tribal knowledge into an asset: a written procedure that names the steps, the owner, and the edge cases. SOPs are the written half of process optimization — automation is the executed half.
Why it matters
- Consistent results regardless of who does the work
- New hires ramp up faster
- Process knowledge survives staff turnover
How it works
- 01Pick a task that is repeated and currently inconsistent
- 02Document the actual steps, including owners and tools
- 03Define the edge cases and escalation path
- 04Review with the people who do the work, then train
Real examples
- A client onboarding SOP covering every account to provision
- A monthly close SOP listing each reconciliation in order
- An escalation SOP for when a task fails or a deadline slips
